Memberships
Report Guide for Users
What this report shows, the choices you make when running it, and how to read each section.
What this report is for
The Memberships report gives you a detailed list of memberships — both memberships tied to an individual guest and memberships shared across a whole guest account — including who owns them, when they were purchased, when they expire, and how many uses/scans are left.
How the report works
You choose a date range and which date field to filter on (purchase date, last used date, start date, or expiration date), along with which membership package(s) and package level(s) to include. The report then returns one row per matching membership.
The choices you make when running it
These are the settings available. Everything else is calculated automatically.
1. The time period
| Setting | What it does |
|---|---|
| Date to Filter | Choose whether Start Date/End Date filter on the membership's Date Of Purchase, Date Of Last Use, Start Date, or Expiration Date. |
| Start Date | The beginning of the date range you want to report on. |
| End Date | The end of the date range you want to report on. |
2. Which memberships to include
| Setting | What it does |
|---|---|
| Membership Package Filter | Controls which packages are available to pick in Membership Package Name below: All, Active Membership Package Only, or Inactive Membership Package Only. |
| Membership Package Name | Choose one or more membership packages to include. Leave all selected to include every package. |
| Membership Package Level | Choose whether to include Guest-level memberships (tied to one individual guest), Account-level memberships (shared across an entire guest account), or both. |
3. Columns to show
| Setting | What it does |
|---|---|
| Columns to Show | Choose which optional columns appear on the report: Guest Id, First Name, Last Name, Guest Email, Guest Phone, Birthday, Guest Account Name, Guest Account Email, Guest Account Phone, Guest Account Address 1/2, Guest Account City/State/Zipcode, Sales Price, Tax Amount, LineTotal, and Website Name. Most are included by default. A core set of columns (listed below) always displays regardless of this setting. |

Optional (controlled by Columns to Show)
| Column | Description |
|---|---|
| Guest Id | The internal identifier for the guest. Blank for Account-level memberships. |
| First Name / Last Name | The guest's name. Shows "-" for Account-level memberships. |
| Guest Email / Guest Phone | The guest's contact info. Shows "-" for Account-level memberships. |
| Birthday | The guest's date of birth. Only available for Guest-level memberships. |
| Guest Account Name | The name of the guest account tied to the membership. |

How to read the layout
Each row is one membership. When you include both Guest-level and Account-level memberships in the same run, rows for Account-level memberships will show "-" in the guest-specific columns (like name, email, and phone) since those memberships aren't tied to one individual.
