Creating/Managing Report Subscriptions

You can subscribe to automatically receive reports on a scheduled basis.  

Create a Report Subscription

1. To create a new subscription, open the report you want to subscribe to.  Click on the subscriptions dropdown in the top right and select create subscription.

 

 2. General Tab: In the General Tab, fill out all the relevant fields. See below for a detailed description of each field.

  • 2.1 Subscription Name - This will be the name of the subscription that you want to create. For example, ‘Daily Sales Summary
  • 2.2 Delivery Options (E-mail) -
    • To -This is where you put in your email address where you want to receive the email for the report subscription. To add multiple recipients, separate each email address with a semicolon (;)  ‘’example@domain.com; another@domain.com’’
    • Subject - subject of the email
    • Comment- This is the text in the email
    • Report Format - This is where you select the report format, which can be PDF, Excel 2003, or CSV.
  • 2.3 Reports Parameters
    • Date Range -  start date of sales in range
    • Summary Level - group by of the sales.
    • Summary level Sub group 1- 2nd group by of the sales.
    • Summary level Sub group 2- 3nd group by of the sales.
    • Transaction Source -  filter where the transaction is created through Online or On-Site.
    • Item Category - filter results by specific product category(ies)
    • Location - location associated to the sales record
    • Product Group Level - filter results by item or by group
    • Show Sessions on Deferred Basis - by default, session revenue is recognized when the payment is received.  Optionally, you can report session revenue on an accrual basis.
    • Sales Display - hide/show specific sections of the report ex. credit sales, accruals.
    • Date Range Comparison - Daily, Weekly, Monthly, Quarterly or Yearly.
    • Show Event's Product Name As - Event assignment of the package name.
    • Include SubTotal - hide/show the subtotal of per group.

  Below is an example of how it will show in your email.

 

3.  Schedule Tab

Note:  All times are expressed in -06:00 (America/Denver - MDT) Mountain Time.

  • 3.1 Schedule Details -Choose whether to run the report on a daily, weekly, monthly, or one-time basis.

  • 3.2 for the Day schedule, see the function of each needed field.
    • Daily Schedule - the number of days you want to repeat the report subscription.
    • Start and End Dates - Specify the date and time to start and optionally end this schedule.
    • Start time - the time you want to start the report to run.
    • Begin running this schedule on - the date you want to start the report to. run
    • Stop this schedule on- The date you want to stop running the subscription.
    • Create Subscription -click this once you are done setting up your schedule.

       

  • 3.3 for the Week schedule, see the function of each needed field.

    • Repeat after this number of weeks - Number of weeks you want to repeat the report subscription.
    • On day(s) - Days in a week, you want to run the report.
    • Start and End Dates - Specify the date and time to start and optionally end this schedule.
    • Start time - the time you want to start the report to run.
    • Begin running this schedule on - the date you want to start the report to run.
    • Stop this schedule on- The date you want to stop running the subscription.
    • Create Subscription -click this once you are done setting up your schedule.

     

  • 3.4 for the Month schedule, see the function of each needed field.

    • Months- check the months that you want to include in your report subscription.
    • On week of month - if enabled this you need to select which week of the month you want to include in your monthly report subscription.
    • On day of week - select days of the week you want to include, this is if you enable the on week of the month.
    • On calendar day(s) - select the calendar days of the month, this is if there are specific days you need on your report subscription.
    • Start and End Dates - Specify the date and time to start and optionally end this schedule.
    • Start time - the time you want to start the report to run
    • Begin running this schedule on - the date you want to start the report to run
    • Stop this schedule on- The date you want to stop running the subscription
    • Create Subscription -click this once you are done setting up your schedule.

     

 

  • 3.5 for the Once schedule, see the function of each needed field.

    • Start and End Dates - Specify the date and time to start and optionally end this schedule.
    • Start time - the time you want to start the report to run
    • Begin running this schedule on - the date you want to start the report to run
    • Stop this schedule on- The date you want to stop running the subscription
    • Create Subscription -click this once you are done setting up your schedule.

       

 

Manage Report Subscriptions

To manage a subscription. First, navigate to the Reporting activity in the vertical menu on the left.

1. Select a report type in the screenshot below. We will use the report Sales Summary as an example. On the upper left, right-click the drop-down options that say ‘subscriptions’ and select create new subscriptions.

2. In the actions columns, you have the option to edit or delete an existing report subscription.

 

  • 2.1 the Edit option on the example subscription ‘SSRS Subscription - Payment Details - Excel’ if you edit it you will be routed to the same screen like when creating a new subscription you can change the subscription details or edit the schedule details, you can check the steps above for ‘creating a new report subcription’ for the steps.

     

  • 2.2 The delete option will delete your report subscription.
