Birthday Party Booking Campaign

Birthday parties are a critical revenue source for many Aluvii customers.  A birthday party booking campaign turns your guest's birthday data that you already collect from waivers, memberships, and elsewhere into birthday party bookings.  You can automatically send timely reminders and promotions to families as their child’s birthday approaches. Scheduling outreach at key intervals—such as 60, 45, and 30 days in advance—keeps your venue top of mind and drives early bookings.

Aluvii Customers See High ROI from Birthday Party Booking Campaigns

Aluvii customers who run this sort of multi-email birthday campaigns see up to 40% open rates, significantly better than the typical 15-20% for standard campaigns. That tells us families are looking for the perfect place to throw a birthday party. See our blog post on Why Birthday Emails Are Gold for Family Entertainment Venues and our case study on how Heroes Paradise used this approach to generate over $70,000 in automated birthday revenue, making it one of the most effective campaigns you can run.

Pre-Requisites:

  1. Create email template(s).  Our public template library is a great resource to create your multi-email birthday nurture templates.

Steps:

1. Create a campaign

General Setup

2. Campaign Format:  Email

3. Data Source:  Guest

4. Subject Line:  Type the email subject that email recipients will see in their inbox.  The subject line is an important determinant for whether a customer reads your email.  Read our blog post for guidance on subject lines that get opens.

5. Email Sender:  select one of your preconfigured email senders.  This is the "From:" email address your customers will see when they receive emails from you via the Growth Marketing Module.

6. Campaign Channel:  select Birthday.

Rules & Definition

7. Campaign Type:  select On a Repeating Schedule

8. Email Recipient:  select Guest Account.  That will go to the guest account email, which is the main email address for the household and likely the parent's / responsible party's email address.

9. Email Template:  select the email template that you'll be using for this campaign.

Schedule

10. Date & Time to Send Email:  select the date and time that you'd like your email to start sending.  See our blog post on the best days and times to send marketing emails to families.

Filters

11. Add Filters:  Filters narrow down recipients of your campaign.  Recommended filters for birthday campaigns:

FieldOperatorValues
Guest Birth DateDaysAheadThisYear45 (or however many days before the guest's birthday this campaign is targeting)
Guest AgeBetween1 and 6 (or whatever age range you target for birthday parties
Guest StateEqualsSome customers choose to filter by target states (include variations such as Utah, UT, etc.)

Note that all filters must be true ("and" condition) in order for your recipient to receive the email.  Press the preview records to gut check the total emails that will be sent and a sample list of recipients.

Best Practices:

  1. Personalizing the subject line and email with the birthday child's name tends to result in higher engagement.

12.  Send a Test Email:  Confirm that all looks correct by clicking on the ellipses in the top right, and selecting Send Test Email.

13.  Publish Campaign:  Congratulations! You are now ready to publish your Campaign! Just hit the "Publish" button on the top right.
