Membership Attendance
What this report shows, how to run it, and how to read the results.
What this report is for
The Membership Attendance report shows when your members visited, based on their check-in scans. It’s the report to use when you want to see how often members are coming in, which membership packages are being used, and who your most active (or least active) members are.
You can organize it by date and time or by guest, focus on specific membership packages, and choose whether to count every scan or just each member’s first or last scan.
How to run the report
Set the date range, then choose how you want the attendance organized and counted.
Time period and packages

| Start Hour / Minute, End Hour / Minute | Optional. Narrows the period to a specific time of day. Leave at the defaults to cover full days. |

How attendance is organized and counted
| Setting | What it does |

| Group By | Organize by Date and Time (see attendance across the calendar) or by Guest (see each member’s visits together). |
| Scan Type | All Scans counts every check-in; First Scan Only counts just the first scan in the period; Last Scan Only counts just the last. Use First or Last to count one visit per member instead of every swipe. |
| Include Empty DateTime | Yes shows time periods that had no attendance (helpful for spotting quiet times); No hides them. |
| Expand All | Yes opens every group automatically; No keeps them collapsed so you can expand only what you need. |
Understanding the columns
Each row is one check-in scan. Here is what the columns mean:

| Guest Name | The member who checked in. |
| Membership Package | The membership the guest checked in under. |
| Exact Scan Date/Time | The precise date and time of the check-in scan. |
| Guest Primary Email | The member’s email on file — useful for follow-up or outreach. |
| Guest Primary Phone | The member’s phone number on file. |
When grouped by Guest, each member’s scans are gathered together so you can see how often they visit. When grouped by Date and Time, scans are organized across the calendar so you can see attendance over the period.
How to use it, step by step
- Set your Start Date and End Date, and choose the Membership Package(s) you care about.
- Pick a Group By: Guest to study individual members, or Date and Time to study attendance trends.
- Choose a Scan Type: All Scans for total visits, or First/Last Scan Only to count one visit per member per period.
- Run the report. Use Expand All to open everything, or expand groups as needed.
- Use the email and phone columns if you want to follow up with active or lapsed members.
Good to know
- If a member scans in more than once in a day, “All Scans” will show each one. Use First or Last Scan Only to count a single visit per member instead.
- Turn on “Include Empty DateTime” to reveal quiet periods with no attendance — useful for spotting slow times.
- Grouping by Guest is the quickest way to see who your most and least active members are.
- The report counts check-in scans, so it reflects actual visits — not just active memberships.
Tip: Group By Guest + First Scan Only gives a clean “how many members visited” count; All Scans gives total visit volume.
