What this report shows, the choices you make when running it, and how to read each section.


What this report is for

The Gift Card Balance Report gives you a real-time snapshot of every gift card that still has money on it right now. It's a simpler, point-in-time alternative to the Gift Card Summary report — there's no date range to set, since it always reflects the current outstanding balance across your active gift cards.

How the report works

The report pulls every gift card that is active, has a balance greater than zero, and hasn't expired (or has no expiration date at all). It then totals that balance by gift card type, and also lists out every individual card.

The choices you make when running it

There's only one setting to consider.

Columns on the report

Gift Card Balance (summary)

ColumnDescription
Gift Card TypeThe type of gift card.
Gift Card BalanceThe combined outstanding balance across every active, unexpired card of that type.

Gift Card Details

ColumnDescription
Gift Card IDThe internal identifier for the gift card.
Gift Card BarcodeThe barcode number printed on the gift card.
Gift Card Type NameThe type of gift card.
Original BalanceThe amount the card was loaded with when it was first purchased or generated.
Current BalanceThe card's remaining balance right now.
Net Adjustment AmountThe total of any manual balance adjustments made to the card.
Net Adjustment NoteThe reason/purpose entered for the most recent manual adjustment, if any.
Expiration DateThe date the card expires, if it has one.

How to read the layout

The report opens with the Gift Card Balance summary table, giving you a quick total by gift card type, followed by the Gift Card Details list showing every individual card that makes up those totals. A timestamp at the top of the report shows exactly when it was run, since the balances reflect that moment rather than a date range.
