Configuring Time Record Settings for Timekeeping

Define the rules and operating hours of your business for timekeeping. By setting your preferences, you can ensure employee time records are accurately tracked, validated, and flagged for review when they exceed established thresholds. This article explains how to configure and manage time record settings to support accurate attendance tracking and timecard management.

This section allows you to define the timekeeping rules used to validate employee timecards. You can set maximum daily and weekly work hours, configure your operating hours, and specify the location's time zone. These settings help ensure timecards are accurate and flag entries that exceed defined limits for review before approval. Here's how you do it:
  1. First, go to the Timekeeping module and click on the Configuration tab.
  2. Then, set the following data according to your desired business hours:
    • Max hours per day - Use this field to specify the maximum number of hours an employee can be scheduled to work in a single day.
    • Max hours per week - Use this field to specify the maximum number of hours an employee can be scheduled to work within a pay week.
    • Time Zone - Displays the location's configured time zone. To change this, check our article on how to set up your location at this link.
    • Opens at - Set the opening time for the location.
    • Closes at - Set the closing time for the location.
    • Cutoff time - Set the specific time entry at which the system determines whether a punch belongs to the current workday.
  3. Finally, the changes made on this page are saved automatically.
IMPORTANT NOTES:
Time caps that go over the set limits in either "Max Hours per Day" or "Max Hours per week" are flagged for review.

In "Opens at" and "Closing at" time settings, this is the period that the employees' punches are counted in. If you update the time settings, it will recheck the times that are already recorded, so it asks you to confirm.

In Cutoff time, if your business operates past midnight, select a closing time that occurs earlier than the opening time. Example: If your time of operation is from 9:00 AM to 2:00 AM the following day, set the Opens at to 9:00 AM and set the Closes at to 2:00 AM.
